Cancellation & Refund Policy

At Raj Gharana Vaishali, we understand that travel plans can change unexpectedly. This policy outlines the terms and conditions governing cancellations, modifications, and refunds for all hotel bookings made directly through our website, front desk, or reservations team.

1. Standard Cancellation Policy

The following cancellation terms apply to standard room bookings unless otherwise specified at the time of reservation:

All notice periods are calculated from the hotel's local time (IST) on the date of arrival.

2. Non-Refundable Rate Plans

Certain promotional or discounted rate plans are designated as non-refundable at the time of booking. These bookings:

  • Cannot be cancelled, modified, or transferred once confirmed.
  • Will incur a 100% charge of the total booking amount regardless of the notice period.
  • Are clearly marked as "Non-Refundable" during the booking process.
  • May be eligible for credit towards a future stay at the hotel's discretion in exceptional circumstances.

3. Special Event & Peak Season Bookings

Bookings made during peak seasons, festivals, public holidays, or special events (including weddings and corporate events) are subject to modified cancellation terms:

  • Cancellations made more than 7 days before arrival: full refund.
  • Cancellations made 3 – 7 days before arrival: 50% of the total booking amount is charged.
  • Cancellations made less than 3 days before arrival or no-shows: 100% of the total booking amount is charged.

Applicable peak season dates will be communicated at the time of booking.

4. Booking Modifications

4.1 Date Changes

Requests to modify check-in or check-out dates are subject to availability and the rate applicable on the new dates. If the new dates fall under a higher rate, the difference will be charged. If the new dates have a lower rate, the difference will be refunded or credited to your account.

4.2 Room Type Changes

Requests to change room type are subject to availability. Upgrades will require payment of the rate difference. Downgrades may be refunded at the hotel's discretion.

4.3 Early Departure

Guests who check out earlier than the booked check-out date may be charged for the remaining nights at the hotel's discretion. We recommend informing the front desk as early as possible to discuss options.

5. Refund Process

5.1 Refund Timeline

Approved refunds will be processed within the following timelines:

  • Credit/Debit Card payments: 7 – 10 business days to reflect in your account.
  • Net Banking / UPI payments: 5 – 7 business days.
  • Wallet payments: 3 – 5 business days.
  • Cash payments: refunded at the property in cash or via bank transfer within 5 business days.

Please note that processing times may vary depending on your bank or payment provider. Raj Gharana Vaishali is not responsible for delays caused by financial institutions.

5.2 Refund Method

Refunds will be issued to the original payment method used at the time of booking. We do not offer refunds via a different payment method unless the original method is no longer valid, in which case please contact our reservations team to arrange an alternative.

6. Third-Party Bookings

If your reservation was made through a third-party travel agent, online travel agency (OTA), or booking platform (such as MakeMyTrip, Goibibo, Booking.com, etc.), the cancellation and refund terms of that platform will apply. Please contact the platform directly to initiate a cancellation or refund request. Raj Gharana Vaishali is not responsible for refunds on bookings made through third-party channels.

7. Force Majeure

In the event of cancellations due to circumstances beyond either party's control — including natural disasters, government-imposed travel restrictions, public health emergencies, or acts of God — Raj Gharana Vaishali will offer affected guests a full refund or the option to reschedule their stay without any cancellation penalty. Supporting documentation may be required.

8. How to Cancel a Booking

To cancel or modify your reservation, please use one of the following methods:

  • Online: Log in to your account on our website and navigate to "My Bookings" to cancel or modify your reservation.
  • Email: Send a cancellation request to reservations@rajgharanavaishali.com with your booking reference number.
  • Phone: Call our reservations team at +91-8229-070-112 (available 9:00 AM – 8:00 PM IST, Monday to Sunday).

Please retain your cancellation confirmation reference number for your records. The date and time of the cancellation request will determine the applicable cancellation charges.

9. Disputes & Grievances

If you believe a cancellation charge or refund has been applied incorrectly, please contact us within 14 days of the cancellation date. We will review your case and respond within 5 business days. Unresolved disputes may be escalated to the management team at feedback@rajgharanavaishali.com.
